NOTICE TO BIDDERS FOR

WARSAW COMMUNITY SCHOOLS

KOSCIUSKO COUNTY INDIANA

    NOTICE IS HEREBY GIVEN, that the Board of School Trustees of the Warsaw Community Schools will receive sealed bids for a project to supply network equipment for its eligible locations.  Bidders are advised that this project will be contingent upon the successful obtaining of Category 2 E-Rate funding, and the contract agreement between the district and the successful bidder must recognize that contingency.  No physical installation is being sought.  Warsaw Community Schools seeks an agreement that allows it to work with the selected vendor to adjust quantities and/or scale back or cancel the project entirely as needed based upon funding availability and/or the best interests of Warsaw Community Schools.

    Bids will be accepted at the Warsaw Community Schools Central Office, 1 Administration Drive, Warsaw, IN 46580 until 1:00 p.m. EST on February 11, 2021.  Bids may also be emailed to Eric Sorensen, Technology Coordinator at [email protected] until 1:00 p.m. EST on February 11, 2021.  Bids will be opened and tabulated at 2:00 p.m. EST in the Training Room.  Any questions related to the technical aspects of the project should be directed to [email protected] no later than 2:00 p.m. EST on January 28, 2021.  

    All bidding shall be in accordance with the RFP, which may be downloaded from https://bit.ly/39zbBjx.  

    The successful bidder will enter into a contract with Warsaw Community Schools.

    The contract will be awarded to the bidder with the highest score on a rubric consisting of the following: Price of the ELIGIBLE Services, 40 points; Technical merit of proposal, 25 points; References/experience/expertise/reputation/prior experience with the district, 20 points; Other cost considerations, 10 points; Response format, 5 points; for a total of 100 points possible.

    Warsaw Community Schools reserves the right to reject each and every bid, and to waive informalities, irregularities, and errors in the bidding to the extent permitted by law.  In the event that a responsible bid is not received or if it is determined that the low bid received is too high, the bids received will be rejected and the project will be cancelled or re-bid.
